Memo: Updated Office Policies and Procedures

To: All Staff
From: HR Department
Date: 16th October
Subject: New Policies About Working from Home, Expenses, and Office Cleanliness

1. Work-from-Home (WFH) Rules

You can work from home up to three days each week. You must record your work-from-home days in the company system by 9 a.m. If you don't do this, you might lose your work-from-home rights for a while. When working from home, you must be available for online meetings between 9 a.m. and 5 p.m.

2. Claiming Money Back

We have a new system for claiming money back. You must now use our new website, FinancePro, to ask for money back within 30 days of spending it. We won't pay you back if you send claims after 30 days. You must upload pictures of your receipts when you make a claim for travel, meals, or hotels.

3. Kitchen Rules

The office kitchen is for everyone, so we all need to help keep it clean. Starting next week, each team will take turns being responsible for the kitchen for one week. Please put dirty dishes in the dishwasher and throw away any leftover food. If teams don't follow these rules, managers will send reminder emails.

4. Computer Safety

To keep our computer systems safe, you must change your password every 60 days. The IT team will remind you one week before you need to change it. Your password must have big letters, small letters, numbers, and special symbols. If you don't change your password on time, you might not be able to use some computer systems.

5. Office Times

Office hours are still 9 a.m. to 6 p.m., Monday to Friday. You must be at your desk by 9 a.m. If you're working from home, you must be online by 9 a.m. If you're going to be late, tell your manager as soon as possible. If you're often late, you might get in trouble.

6. Holiday Requests

Remember to ask for holidays through the HR system at least two weeks before you want to take them. If you ask later than this, we might not approve your holiday, especially during busy times. Managers will try to say yes or no to your request within five working days.
